# Workplace Feedback Draft Checklist

## Step 1: Your own observations (fill in before using AI)

| Situation (when/where) | Behavior (what specifically happened) | Impact (what effect it had) |

## Step 2: Draft with AI — instructions to give it

- Organize these observations using situation-behavior-impact structure.
- Do not add any example, behavior, or impact I did not describe.
- Do not make constructive points sound harsher than I described them.
- Do not soften a genuine concern into vague, unactionable praise.

## Step 3: Tone check (both directions)

- [ ] Does this sound harsher than what I actually meant?
- [ ] Does this sound vaguer or softer than what I actually meant?
- [ ] Would the person recognize this as a fair description of what happened?

## Step 4: Example verification

For each specific claim in the draft:

- [ ] I can recall the actual instance this refers to.
- [ ] It describes behavior, not a personality label or characteristic.
- [ ] It is not tied to a protected characteristic or a proxy for one.

## Step 5: Before sending

- [ ] If this feeds into pay, promotion, or a formal process, I used the official form/channel, not an informal note.
- [ ] Every example in the final draft is something I actually witnessed.
