# Privacy-aware email drafting card

Use with [Using ChatGPT to write emails you actually want to send](/articles/chatgpt-emails-you-want-to-send).

## 1. Check before prompting

- [ ] The tool, account and feature are approved for this material.
- [ ] I am not pasting a confidential thread, personal data, credentials, contract text or undisclosed client information.
- [ ] The scenario uses fictional names or role labels and only the facts needed for the draft.
- [ ] A training setting, temporary mode or deletion control is not being treated as permission to disclose the material.

If any box is unresolved, keep the real message local. Use a fictional example to design the structure instead.

## 2. Define the draft

```text
Fictional or approved context only:
- sender role:
- recipient role:
- facts the message may state:
- facts the model must not invent:
- desired next step:
- tone and maximum length:
Draft three variants. Do not add names, dates, promises or attachments.
```

## 3. Review the closest variant

- [ ] The meaning is mine.
- [ ] Every name, date, number, link and commitment matches the source.
- [ ] The tone fits the actual relationship.
- [ ] No private fact from another person was added.
- [ ] The recipients and attachments are correct.
- [ ] A responsible person completed any required HR, legal, policy or domain review.

## 4. Save only the reusable pattern

Keep the structure and editing instructions. Remove the original message, names, client facts, account information and commitments before saving a template.
