Meeting Notes Accuracy Checklist
Use with Meeting Notes That Stay Accurate After AI Drafts Them.
Before the meeting
- Confirmed recording/transcription is necessary; ordinary minutes are not a sufficient, less-intrusive method for this purpose.
- Confirmed the recording/notetaking tool is on my employer’s approved list.
- Confirmed the actual recording, transcription and model data path for this configuration, including subprocessors, retention, deletion and export behavior.
- Documented the applicable lawful basis or valid consent requirement for every relevant location and company policy; merely informing attendees is not automatically the same as obtaining valid consent.
- Told attendees the approved purpose, access scope, and retention period.
- Confirmed this meeting type and data classification are eligible. Sensitive HR, health, legal, board or customer material follows the organization’s applicable record and access rules, not a generic label.
After AI produces the first draft
For each item in the Decisions Made section:
- Was this actually and explicitly agreed, not just suggested or implied?
- Can I point to the supporting timestamp or source line, and does a responsible participant confirm it?
For each item in the Action Items section:
- Is the named owner the person who actually agreed to do it?
- If ownership was unclear in the recording, is it marked “to confirm” rather than stated as fact?
For the Open Questions section:
- Did the summary drop any dissent, caveat, or objection I remember from the meeting?
- Is anything marked “decided” that I remember as still open?
Before sending
- Any unclear or inaudible section is labeled as a gap, not filled with a guess.
- The message asks attendees for corrections with a specific deadline.
- Sensitive content is limited to people who need it, not the full attendee list by default.
- The reviewed version is stored only in the authorized system of record with the required access, retention, correction and deletion controls.
After sending
- Corrections received are folded into a final version before anyone acts on the notes.
